Terms &
Conditions

The terms that guide our work, our commitments and the experience we create together.

Last updated: August 2026

These Terms & Conditions govern the provision of wedding filmmaking services by VIP Destination Wedding Films, trading as VIP Destination Wedding Films.

These Terms & Conditions provide general information about our wedding filmmaking services. The specific services, deliverables, payment schedule, cancellation terms, travel arrangements and delivery periods applicable to each wedding are confirmed in the individual proposal and service agreement signed by the client. In the event of any inconsistency, the signed service agreement shall prevail, subject to applicable mandatory law.

01

General Terms

VIP Destination Wedding Films provides professional wedding filmmaking services for weddings, celebrations and related events.

The specific services included in each booking are determined by the collection selected by the client and confirmed in the applicable proposal, quotation or agreement.

The number of filmmakers and production staff, number of coverage days, films, reels, film durations, aerial cinematography, live streaming and delivery of raw footage depend on the collection selected and the terms of the individual agreement.

Only services expressly included in the agreed collection are considered part of the contracted experience. Any services not expressly included may be subject to an additional fee.

02

Booking & Reservation

A wedding date is considered formally reserved only once the agreement has been signed, the required booking payment has been received, and written confirmation has been issued by VIP Destination Wedding Films.

Availability remains subject to confirmation until all of these conditions have been fulfilled.

By confirming a booking, the client agrees to provide accurate information regarding the wedding date, location, schedule and any other relevant details required for the planning and production of the service.

03

Payment

All fees, applicable VAT, payment schedules and travel-related expenses are established individually and set out in the client’s proposal and agreement.

Payments must be made according to the schedule specified in the agreed proposal or contract.

Additional services, travel expenses or expenses arising from changes requested by the client may be invoiced separately where applicable.

04

Changes & Cancellation

Any request to change the wedding date, location, schedule or agreed services should be communicated as soon as reasonably possible.

Changes are subject to availability and may result in additional costs where applicable.

Cancellations and postponements are governed by the individual agreement entered into with the client and by any mandatory provisions of applicable law.

Any request to postpone or reschedule a celebration remains subject to availability and the terms established in the applicable agreement.

05

Destination Weddings & Travel

Destination wedding bookings may require travel, accommodation, transportation, equipment logistics and other production arrangements.

Any travel-related costs included in or excluded from the agreed collection will be clearly communicated before booking and established in the applicable proposal or agreement.

The client is responsible for providing the production team with the necessary access to the venue and relevant locations, as well as any permissions required for filming.

The client must also ensure that venue-specific requirements, local restrictions and any other conditions that may affect production are communicated in advance.

06

Filming & Creative Services

Wedding filmmaking is a creative service. Every effort is made to capture the meaningful moments of a celebration, while the final film remains naturally influenced by the circumstances, schedule, lighting, venue conditions and events occurring on the wedding day.

Where included in the selected collection, wedding coverage may be captured in cinematic 4K and 6K resolution, preserving exceptional detail, depth and visual quality for years to come.

Every experience includes the level of production specified in the agreed collection, including the applicable number of filmmakers and production staff.

Aerial cinematography is subject to weather conditions, local regulations, airspace restrictions, venue permissions and safety considerations. Where these conditions prevent aerial filming, this service cannot be guaranteed.

Live ceremony broadcasts are subject to local technical conditions, mobile network coverage, internet connectivity, satellite connectivity, venue approval and other circumstances beyond our reasonable control.

Professional 5G connectivity and dedicated satellite equipment, including Starlink where appropriate, may be used to provide an additional layer of reliability. However, uninterrupted transmission cannot be absolutely guaranteed in every location.

The client is responsible for providing appropriate working conditions for the production team, including meals where agreed or reasonably required for extended coverage.

07

Delivery & Revisions

Estimated delivery times are those specified in the individual agreement and begin once all information, materials and approvals reasonably required for the completion of the project have been received.

Bespoke films or celebrations extending over multiple days may require additional production and editing time due to their personalised nature.

Where revisions are included in the agreed collection, the number of revisions and their scope are limited to the terms specified in the applicable agreement.

The period within which amendments may be requested, as well as any fees applicable to additional work, are defined in the individual agreement.

Additional revisions or substantial creative changes requested outside the agreed scope may incur additional fees and may affect the original delivery schedule.

09

Force Majeure

We will not be held responsible for failure or delay in performing our services where this results from circumstances beyond our reasonable control.

Such circumstances may include serious illness, accidents, natural disasters, extreme weather, transport disruption, governmental restrictions, strikes, war, civil unrest or other events that materially prevent or affect the provision of the agreed services.

Where serious illness or another significant impediment prevents a scheduled team member from attending, VIP Destination Wedding Films may appoint a suitably experienced replacement professional with equivalent qualifications and creative expertise.

Every reasonable effort will be made to ensure that any such substitution does not compromise the quality, continuity or character of the agreed production.

10

Liability

We take every reasonable precaution to protect equipment and recorded material throughout the production.

However, circumstances beyond our reasonable control may occasionally affect the recording or delivery of the service.

Delays, restrictions or limitations resulting from information, access, permissions or conditions not provided or available as agreed may affect the production and delivery of the services.

Nothing in these Terms & Conditions excludes or limits any liability that cannot lawfully be excluded or limited under applicable law.

11

Governing Law

These Terms & Conditions are governed by the laws of PORTUGAL.

Where applicable, the choice of Portuguese law shall not deprive consumers residing in other countries of any mandatory rights or protections granted to them under the laws of their country of habitual residence.

Any dispute arising in connection with these Terms & Conditions shall be subject to the legally competent courts, without prejudice to any mandatory consumer protection rights applicable to the client.
